Work Hours

Core work hours are from 9:00 am to 5:00 pm, Monday through Friday and we work within a 40 hour-a-week framework. You have flexibility around when you start and end your day, within the core hour framework. Any exceptions to these core hours must be approved by your supervisor in advance. Some positions are based from home offices as described in the job description.

All leaves and absences are managed through the Timetastic platform and in communication with the Director of Operations.

Office Communications

Slack is the Be in Christ application that helps foster a culture of communication with its ease of use for groups and teams. Many of our staff members work remotely, therefore we have implemented this tool to help in daily collaboration. You are encouraged to sign in daily to Slack and update your status as appropriate.

Overtime

Only hours worked in excess of 44 hours in any given week will qualify as overtime hours. All overtime must be approved by your supervisor prior to being worked. Overtime, will either be paid or taken as time in lieu. In accordance with Employment Standards Act (ESA), you will be given 1.5 hours of paid time off work for each hour of overtime worked, or be paid at the required rate in accordance with ESA. Lieu time must be taken within three months of the week in which the overtime was earned.

Reporting Absences

If, for any reason, you cannot come to work, you are required to advise your supervisor as soon as you know that you will be absent. If you need to leave a Slack message, voice message or send an email, ensure that you follow up with a phone call, so that you are able to connect with your supervisor directly. In the case of prolonged absences, it is your responsibility to keep your supervisor informed.

Staff Records

Your personnel records are kept confidential and secure and managed by the Operations Manager. If there is a change in your home address, telephone number(s), marital status, dependents, beneficiaries, or emergency contact, you must advise Be in Christ of these changes.

While each employment file is kept confidential, you may see your own file at any time with advance notice of at least 24 hours. You can make this request in person or in writing. Apart from you, only leadership staff, with general line supervision, the Executive Director, or a duly authorized representative of Be in Christ’s Board of Directors will have access to your file. Otherwise, information can only be released with your approval. When you leave Be in Christ, for any reason, we will retain your file for seven years or as required by employment law.

Dress Code

Be in Christ respects that the way you dress is subject to personal taste, budget and job function. However, it is important to remember that in any professional environment we must present an appropriate image. You should practice common sense rules of neatness, good taste, appropriateness and comfort. Neatness and good taste in dress, as well as care toward personal hygiene are expected of everyone. Business casual is our common practice.

Remote Working

Most staff work from a remote or home office in our organization. Any specific requirements for a home office will be outlined in the job description as well as the letter of offer. For positions where a home office is required, Be in Christ will pay one-half of the internet cost to a reasonable limit. This should be expensed monthly with other expenses.

Internet & Computer Usage

Be in Christ makes its computer systems and networks available to most employees in order to assist them in performing their ministry role. While these computer systems and networks have many benefits, they also have some risks. 

The following requirements are designed to protect you, the ministry, Be in Christ’s confidential information, to minimize possible risks to our reputation and image, and to minimize costs.

The following activities are prohibited when using ministry-provided computer systems and networks, or when identifying yourself as associated with Be in Christ:

  • Composing, transmitting, accessing, receiving or displaying any content that could be considered libellous, slanderous, harassing, threatening, profane or discriminatory towards any employee or other person.
  • Transferring of data owned by Be in Christ to personally – owned computers
  • Composing, transmitting, accessing, receiving or displaying any pornographic & sexually explicit material.
  • Copying or distributing any materials protected by copyright law.
  • Sending or otherwise participating in chain letters.

The equipment, services and technology that comprise Be in Christ’s computer systems and networks remain at all times the property of Be in Christ. All by-products of BIC’s computer systems and networks, including email messages and information accessed through Be in Christ’s networks, also constitutes property of Be in Christ.

You should not expect any privacy regarding their use of Be in Christ’s computer systems and networks. Be in Christ also reserves the right to access, monitor, read or download any data composed, transmitted, accessed, or received through or stored in their computer systems and networks.

Use of Be in Christ’s computer systems and networks for non-ministry use is discouraged.

Social Media

Social networks, developed over the past several years, have created a profound change in the way we interact with one another and share information. While this creates significant opportunities for organizations, there are inherent risks with social media exposure. Our goal is to create a policy which allows the ministry to use social networking effectively, while minimizing risks.

Purpose

The purpose of using social media networking is to communicate with our staff members and Be in Christ congregations and to ensure that Be in Christ has a social media presence of integrity and one which protects confidentiality and privacy.

Please keep in mind that streaming is allowed for mission-related communications. Always expect that the BIC has the right and ability to monitor all internet connections.

Social networking is not permitted for personal use and any reference to Be in Christ, its congregations, staff, policy, guests, during or after working hours, on or off of our working premises, is governed by this policy.

Confidentiality & Privacy

One of the greatest risks inherent in the use of social media is the risk that confidentiality and privacy laws will be contravened. All staff are required to strictly adhere to confidentiality and privacy laws. Our policies concerning communications, PIPEDA, anti-harassment and confidentiality apply to information shared on social networks. This includes any communications that would be inappropriate in any way, including comments that could constitute harassment, embarrassment, breach of privacy, gossip, poisoning of the workplace, and any comments which are derogatory towards the organization, an individual or an associate or supplier should not be posted on social networking sites during or after working hours.

Social networking discussions should not disclose confidential, proprietary or denominational information belonging to Be in Christ, its congregations, staff, nor disclose private information, including photographs of the same.

Responsibility

Be aware that anything published on a social network is visible to the entire world and will remain public for a very long time. It is incumbent on you to protect the privacy of the ministry and its people. Understand that inappropriate communications can put others at risk and every precaution must be taken to protect our colleagues, friends, and congregations. You should make no assumptions about the confidentiality or safety of any communications on any type of social media.

You are to exercise caution and good judgment when posting comments or information on social networking sites that can be identified with the staff and BIC. Staff cannot speak on behalf of the mission, unless they are expressly authorized to do so. Understand that when an individual express themselves in social media on issues related to, or about Be in Christ, they contribute to the public perception of the ministry. If authorized to represent Be in Christ, ensure that the information is accurate and the source is clearly indicated.

Social networking sites are not appropriate forums to engage in differences of opinion with respect to work-related issues, engage in criticism of management or co-workers, nor to address concerns regarding the performance or competence of others. Users must accept full responsibility for their comments and the ramifications should something be misunderstood or be damaging to Be in Christ.

Cell Phone Usage

Any infraction from driving and texting that leads to a ticket, will be the full responsibility of the staff member and not of Be in Christ. An infraction of this type may be grounds for further disciplinary action.

Inclement Weather

If you are traveling in bad weather, Be in Christ commends you not to put yourself in danger. It is recommended that you find a hotel room and the costs will be covered by your BIC expense account.
